FieldPilot ("FieldPilot", "we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we collect it, how we use it, when it may be shared with trusted third-party service providers, and the choices you have regarding your information when using the FieldPilot website, mobile application, and related services.

By using FieldPilot, you agree to the collection and use of information as described in this Privacy Policy.

Information We Collect

Depending on how you use FieldPilot, we may collect the following information:

  • Name and email address.
  • Account information.
  • Farm records and operational information you create.
  • Field names, crop names, seeding records, spray records, harvest records, contract information, and other farm data you choose to enter.
  • Voice recordings that you voluntarily submit for transcription or AI features.
  • Text messages and questions you submit to AI features.
  • Device information, diagnostics, crash reports, and usage information.
  • Subscription and purchase information.
  • Notification preferences and application settings.

How We Collect Information

We collect information:

  • When you create or sign in to a FieldPilot account.
  • When you manually enter farm records or other information.
  • When you submit text or voice requests to AI features.
  • Automatically through normal operation of the application, including diagnostic and device information.
  • Through purchases and subscriptions processed by the Apple App Store.

How We Use Your Information

We use your information to:

  • Provide and operate the FieldPilot service.
  • Store and organize your farm records.
  • Synchronize your information across your devices.
  • Generate AI-powered responses, transcriptions, summaries, and farm record assistance.
  • Improve application performance and reliability.
  • Provide customer support.
  • Process subscriptions and restore purchases.
  • Detect, prevent, and investigate abuse, fraud, and security issues.
  • Comply with legal obligations.

AI Features and Third-Party Processing

FieldPilot offers optional AI-powered features, including Ask FieldPilot, AI voice assistance, voice transcription, and AI-generated summaries.

These features are provided using OpenAI.

When you choose to use AI features, the information you voluntarily submit may be securely transmitted to OpenAI for processing. This may include:

  • Questions and messages you enter
  • Voice recordings submitted for transcription
  • Field names
  • Crop names
  • Farm records
  • Seeding information
  • Spray information
  • Harvest information
  • Contract information
  • Other farm information you choose to include in your request

This information is transmitted solely to generate the AI response or functionality that you requested.

FieldPilot does not send the following information to OpenAI:

  • Passwords
  • Authentication credentials
  • Authentication tokens
  • Payment information
  • Apple App Store purchase information

AI features are entirely optional.

Before any information is transmitted to OpenAI, FieldPilot requests your explicit consent. No AI requests are sent until consent has been granted.

You may withdraw your consent at any time from Settings → AI Consent. After consent is withdrawn, AI features remain unavailable until consent is granted again.

FieldPilot shares only the information necessary to provide the requested AI functionality and requires third-party service providers to maintain privacy and security protections appropriate for the information they process.

Data Storage and Security

Your information is securely stored using trusted cloud infrastructure.

We use industry-standard administrative, technical, and organizational safeguards designed to protect your information, including encryption during transmission and secure authentication practices.

Although no system can guarantee absolute security, we continually work to protect your information from unauthorized access, disclosure, alteration, or destruction.

Data Sharing

We do not sell your personal information.

We may share information only with trusted service providers when necessary to operate FieldPilot, including:

  • Supabase for secure authentication, database storage, and cloud services.
  • OpenAI for optional AI-powered features after you provide consent.
  • Apple for subscription billing and purchase processing through the App Store.

These providers receive only the information necessary to perform their services.

Your Data

You retain ownership of the farm records and information you create within FieldPilot.

You may edit or delete your records at any time.

You may permanently delete your FieldPilot account from within the application. Account deletion permanently removes your account and associated data from our systems, subject to any legal retention requirements.

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access your personal information.
  • Correct inaccurate information.
  • Request deletion of your personal information.
  • Withdraw consent for optional AI processing.
  • Request information about how your data is processed.

Requests may be submitted using the Contact page within FieldPilot.

Children's Privacy

FieldPilot is not intended for children under the age of 13, and we do not knowingly collect personal information from children.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When material changes are made, we will update the Effective Date above. Continued use of FieldPilot after changes become effective constitutes acceptance of the updated Privacy Policy.
